What does archive do? Can I un-archive?
Updated June 2026
Archiving a person hides them from clock-in (the kiosk, QR, and their personal link) but keeps all their past hours in your reports and exports. It is fully reversible: un-archiving brings them back with their history intact, no new profile needed.
What archive does
Archiving a person hides them from:
- · the kiosk picker
- · the personal-link clock-in page (the URL stops working)
- · the main Workers list
- · future CSV / Grasshopper imports (they won't get re-added as duplicates)
What stays: their past clock-ins, contact info, PIN, and personal-link token are all preserved. They still show up in reports for the dates they were active, so when you pull last month's hours, archived people are included.
How to archive
Open Workers. Click Archive next to a name, or tick the checkboxes on multiple rows and click Archive selected at the top.
How to un-archive
Open Workers → More ▾ → Archived. Tick the people you want back, click Restore selected. They reappear on the kiosk picker immediately and their personal link starts working again. Nothing about them was lost, so it's fully reversible.
Archive vs delete
There's no hard "delete" in the UI on purpose. If you delete someone, their historical hours would disappear from past reports, which is almost never what you want for payroll, audits, or grant reports. Archive is the everyday answer. If you genuinely need a hard delete (a duplicate row created by mistake, a typo'd name with no entries), contact us and we'll take care of it.
