Troubleshooting
The real headaches of tracking hours for volunteers and small teams, and how to fix each one.
-
Volunteers keep forgetting to clock out
Turn on auto-close so open shifts cap at a sensible length instead of running forever, then fix the few that need it from the review queue.
-
The clock-in QR code won't scan
Most scan failures are print size, contrast, glare, or distance. Reprint at a larger size, post it at eye level out of direct glare, and use the phone's built-in camera.
-
I can't get my volunteers to clock in
Adoption dies on logins and apps. Put a tablet at the door where clocking in is a single tap on a name, with no account to create.
-
Tracking hours in a spreadsheet is falling apart
Spreadsheets and paper sheets put all the math on you. Let people clock themselves in and out, then export a payroll-ready CSV instead of tallying by hand.
-
Our time clock charges per person and it is getting expensive
Per-seat pricing taxes every name you add, which is brutal for volunteer rosters and seasonal staff. Flat pricing charges the same no matter the headcount.
-
The kiosk tablet keeps logging out or losing the clock-in screen
A shared clock-in tablet should never sign out, because workers have no logins. Fix the real causes: screen sleep, a wandering browser tab, or guided-access not being on.
-
The hours don't add up when I run payroll
Mismatched totals usually trace to open entries inflating time, time-zone confusion on the display, or minute-to-decimal rounding. Check those three before anything else.
