Volunteers keep forgetting to clock out
Turn on auto-close so open shifts cap at a sensible length instead of running forever, then fix the few that need it from the review queue.
This is the single most common time-tracking headache for volunteer programs. People are great about tapping in when they arrive. Then they get pulled into the work, the shift ends, they head home, and the entry is left running. By the time you pull a report you have a volunteer showing 19 hours for a 3-hour shift.
Why it happens
Clocking out has no reward. Clocking in starts the thing they came to do; clocking out happens after they have mentally left. No amount of reminding fully fixes a human habit, so the tool has to absorb it.
The fix: auto-close
Kangaroo Clock has an auto-close setting. You pick a maximum shift length (say 8 hours). Any entry still open past that gets closed automatically. The important detail: auto-close sets the end time to start time plus your cutoff, never to the moment the cleanup job ran. So a volunteer who forgot gets a clean, capped shift instead of a wild overnight number.
Set it from Settings in the admin nav. Pick the shortest cutoff that still covers a real long shift for your program.
Catch the handful that need a real number
Auto-closed entries land in More tools → Needs review with a flag. That is your short list. For each one you can Edit to set the actual end time (which clears the flag) or Approve to accept the cap. You are reviewing five flagged entries, not auditing every shift.
Reduce how often it happens at all
A posted QR code or a tablet kiosk by the exit gives people one more natural moment to tap out. See getting volunteers to actually clock in for the placement tricks that work. And because there are no worker logins, tapping out is a single tap, not a sign-in.
