Time tracking for event organizers
Crew check-ins for setup, execution, and teardown shifts, no app install, no pre-event onboarding.
Events break most time trackers
Event crews are the hard case for any time tracking system. The crew is large (50-200 people for a typical festival or fundraiser), rotates by shift (setup people leave when execution starts), and most people will only ever work one or two events. Asking them to make accounts, install apps, or remember passwords is a non-starter, the onboarding overhead exceeds the actual shift length.
Most events end up running on a paper sign-in clipboard at the volunteer table, which works until the third day when the clipboard goes missing.
The QR poster approach
Kangaroo Clock's QR mode is designed for exactly this shape. Print a poster with the event's QR code, post it at the volunteer entrance. Crew scans on first visit, picks their name from the roster (one tap), and from then on their phone is their personal clock-in surface. One tap in, one tap out.
Tags let you slice hours by phase (setup / execution / teardown), by station (registration / parking / hospitality), or by both. Worker groups can shorten the kiosk picker so a registration volunteer only sees the names of other registration volunteers, useful if your full roster is 150+.
At the end of the event: one CSV export with everyone's hours, ready for the post-event report.
Setup, execution, and teardown as distinct phases
The most common reporting question after an event is "how many volunteer hours went into setup vs. execution vs. teardown?" Tag entries with the phase and the reports filter handles the rest. Or use the time-window filter to slice by day or by hour-of-day if your event runs across multiple days.
