Volunteer event sign-in checklist

Run this the day before an event so volunteers can sign in without confusion. It covers loading your roster, picking a clock-in method, printing and scan-testing a QR poster, setting auto-close, and doing one real test clock-in.

Before the event

  • Every volunteer's name is in Kangaroo Clock People clock in by tapping their own name, so anyone missing can't sign in.
  • You've picked a clock-in method: a kiosk on a shared tablet, a printed QR poster, or personal links Pick what fits the venue: one tablet at the door, a poster people scan, or links on their own phones.
  • If using a kiosk: tablet charged, the kiosk URL open, and screen-sleep turned off
  • If using a QR poster: printed, and scan-tested on at least two different phones A QR that won't scan on event morning is the most common failure. Test before you print at size.
  • Auto-close is set so a forgotten clock-out doesn't run all night
  • You've done one full test: clock a name in, then clock it back out

On the day

  • The tablet or poster is where everyone passes, usually the entrance
  • You have a backup: personal links shared, or a second device on the kiosk URL
  • Someone owns the sign-in spot for the first 15 minutes Most questions happen in the first rush; one helper prevents a line.

When should I run this?

Do volunteers need to download anything or sign in?
