Before you run payroll: hours checklist

Run this before every payroll so nobody is paid from incomplete hours. It checks for open shifts and forgotten clock-outs, confirms the pay-period range and decimal-hour format, and gets you a clean CSV your payroll tool will accept.

Close out the period

  • No one is still on the clock who shouldn't be. Check the dashboard for open shifts
  • Forgotten clock-outs are handled. Review anything auto-closed or flagged in Needs review An open or runaway entry throws a single person's total way off.

Get the numbers right

  • The correct pay-period date range is selected in Reports
  • Totals look right. Spot-check a few people against what you expected
  • Hours are in the format your payroll tool wants: decimal, so 90 minutes is 1.5 Most payroll systems take decimal hours, not hours-and-minutes.

Export

  • If you only pay a subset, filter by the right person or tag first
  • Download the CSV and confirm the columns line up with your payroll import

Questions

When do I run this?

Right before each payroll run: weekly, biweekly, or whatever your cycle is.

Someone forgot to clock out. How do I fix it?

Auto-close caps the runaway shift and flags it for review; you confirm or edit the end time in a couple of clicks before exporting.

Can I export just one team?

Yes. Apply a tag filter in Reports and the CSV includes only those people.
