Checklists

Volunteer hours reporting checklist

Run this before submitting volunteer hours to a grant, funder, or board. It makes sure every program is captured for the full date range, applies the current value of a volunteer hour, and gives you a per-volunteer breakdown to hand over.

Updated June 2026

Capture everything

  • The full reporting date range is selected
  • Every program or event is included: run all, or filter by the right tag If you tag people by program, confirm you're not silently excluding one.
  • No open or unclosed shifts are skewing the total

Make it presentable

  • Total hours pulled from Reports for the period
  • If you report a dollar value, apply the current value of a volunteer hour ($36.14 in 2025) Funders and boards expect the Independent Sector figure. See the reference page.
  • A per-volunteer breakdown and a distinct-volunteer count for the funder

Deliver

  • CSV exported for your records
  • Individual volunteer-hours certificates generated where people need them

Questions

What is a volunteer hour worth?

Independent Sector estimates $36.14 per hour (2025). See our reference page for how the figure is calculated and used.

Can I report one program separately?

Yes. Tag people by program and filter the report (and CSV) to just that tag.

Does the export include a per-person breakdown?

Yes. The CSV has one row per shift with the worker's name, so you can total by person and count distinct volunteers.
