Volunteer hours tracking for a small nonprofit

Volunteer hours tracking sits at an awkward intersection: it has to be light enough that volunteers actually use it, but precise enough that the numbers hold up in a grant report or an audit. Most general-purpose time-tracking tools fail at one or the other.

The bar to clear

A volunteer hours tracking system has to do three things at once. One: be lighter than a paper sign-in sheet. If signing in takes longer than "write your name," volunteers will go back to the paper. Two: capture enough detail to support per-program reporting. Funders ask "how many hours went to the food bank program?", you need to be able to answer. Three: survive review. A grant funder doesn't want to know your tracking system is approximate.

Per-program detail: tags. Create a tag for each program and put each volunteer on the programs they help with; you can tag a whole group at once from the people list. Volunteers just tap their name. A kiosk can show one program's people, and the reports page filters by tag, so per-program hours are a one-click pull.

Survives review: every clock-in is recorded with the time and where it came from (tablet, QR code or personal link), and shifts you add by hand are marked as added by an admin. A volunteer who taps the wrong name can undo it within a minute, and a shift under a minute is flagged for you to check. Forgotten clock-outs are capped and land in a review queue for your sign-off. The CSV export has a fixed set of columns with both UTC and local timestamps for every entry.

Distinct volunteer count

Grant applications almost always ask for both total volunteer hours and distinct number of volunteers engaged. The reports page surfaces both at the top of any date-ranged view, instead of making you compute the distinct count by pivoting the CSV.
