Tracking board member volunteer hours

Board members are volunteers too, but their hours often don't get tracked because the existing tracking system is shaped around the on-site volunteer workflow and feels wrong for a board meeting or a committee call.

The problem with not tracking board hours

For most small nonprofits, board hours are a meaningful chunk of total volunteer contribution but rarely appear in grant reports. That undercounts your overall volunteer engagement number, which understates impact in funder communications.

How to track board hours lightly

Give each board member a personal clock-in link (from their profile in your workspace). They bookmark it on their phone home screen. Before a board call or committee meeting, one tap to clock in; after, one tap to clock out. Total time spent: five seconds per meeting.

Tag board entries with board (or finance-committee, program-committee, etc.) so the reports filter cleanly. Most boards produce a separate annual summary; the tag filter makes that one query.

For board members who won't tap a link

An admin can enter retroactive board hours via Time records โ†’ Add entry. Pick the board member, pick the date and time, save. The entry is flagged as admin-created in the source field for auditability, but otherwise it counts the same as any other entry. (We added this specifically for the board-meeting-after-the-fact case.)
