Volunteer coordinator
A volunteer coordinator is the person at a nonprofit, school, or community organization responsible for recruiting, scheduling, training, and tracking volunteers. The role is often combined with other duties at smaller organizations.
Volunteer coordinators are the operational backbone of most volunteer-driven programs. The role typically covers:
- Volunteer recruitment and onboarding
- Background checks (where required)
- Scheduling and shift coverage
- Hours tracking and reporting
- Volunteer recognition and retention
- Compliance with funder reporting requirements
- Coordination with paid staff and board
At small nonprofits (under $1M annual budget), volunteer coordination is often a fraction of someone else's role, an executive director, a program manager, or a front-desk staff person. Tools designed for the coordinator workflow are usually a shadow of what the coordinator actually needs because the buyer rarely has the budget for specialized software.
The repeated coordinator complaint is that existing time-tracking tools assume either freelancers (project-billing shape) or shift staff (workforce-management shape) , neither of which fits volunteers. Tools sized for the volunteer-engagement shape are rarer.
